Accommodation Terms & Conditions – Imbabali Retreat & Venue, Magaliesburg

By proceeding with a booking at Imbabali Retreat & Venue, you agree to the following legally binding terms and conditions. These govern your stay and apply to all guests and visitors entering the property. The person making the reservation confirms they have read, understood, and accepted these terms, and undertakes to communicate them to all members of their party.

1. Booking & Payment Terms

1.1 A 50% deposit is required to secure your booking. Reservations are confirmed on a first-paid, first-served basis.
1.2 No booking is considered confirmed until the deposit is received.
1.3 The remaining balance is due no later than 7 days prior to arrival.
1.4 A refundable breakage deposit of R500 per unit (cottage/chalet/house) must be paid via EFT at least 48 hours before arrival. This covers breakages, lost keys, or excessive cleaning.
1.5 Refunds of breakage deposits will be processed within 3 business days after departure. Guests must provide banking details for this purpose.
1.6 Any bank charges incurred from cash deposits will be deducted from the total received.

2. Payment Instructions

2.1 Use the name and surname under which the booking was made as your payment reference.

3. Cancellation & Refund Policy

3.1 Cancellations made:
• 14 days or less before arrival: 100% forfeited (includes no-shows)
• 15–21 days before arrival: 75% forfeited
• 22–30 days before arrival: 50% forfeited

3.2 Reservation changes are permitted if requested at least 14 days before arrival.
3.3 No refunds are issued for early departures, partial stays, or absent guests.

4. Accommodation Rates

4.1 Babies under 2 years stay free.
4.2 Rates per person per night apply.
4.3 Grapevine House: R8100 per night (flat rate).
4.4 Camping (max 4/site): Adults R180 | Children R126
4.5 Caravanning (max 4/site): Adults R410 | Children R287
4.6 All rates are subject to change without prior notice.

5. Minimum Stay Requirements

5.1 Public holiday weekends (Friday or Monday): Minimum 2 nights.
5.2 Peak periods: Minimum 3 nights.

6. Arrival & Departure

6.1 Check-in times:
• Accommodation: 14h00–19h00
• Camping: 12h00–19h00
• Late arrivals must be communicated in advance.

6.2 Check-out times:
• Accommodation: strictly by 10h00
• Camping: strictly by 11h00

6.3 Early check-in (if available) will be charged at the full daily rate.

7. Restaurant & Meals

7.1 Our licensed restaurant serves breakfast, lunch, and dinner.
7.2 Breakfast hours: 08h00–11h00
7.3 No outside food or beverages are permitted in the restaurant, venue areas, or pool.
7.4 Operating hours:
• Sunday to Wednesday: 08h00–18h00
• Thursday to Saturday: 08h00–20h00

7.5 Day visitors are not permitted in accommodation areas but may dine at the restaurant.
7.6 All food and beverages are billed separately unless included in your package.

8. Housekeeping & Conservation

8.1 Bath and swimming towels are not provided—please bring your own.
8.2 Daily housekeeping is provided.
8.3 Linen is changed every fourth day for extended stays.
8.4 Charges for accidental linen damage:
• Single bed: R250
• Double bed: R350

8.5 Guests are encouraged to use water and detergents responsibly.

9. Noise & Behaviour

9.1 Imbabali is a tranquil, nature-focused retreat.
9.2 No music is allowed from any device or vehicle at any time.
9.3 Silence is required after 22h00.
9.4 No parties, loud gatherings, or day visitors permitted.
9.5 Disruptive or disrespectful guests will be asked to leave immediately without refund.
9.6 Abusive language, discrimination, or anti-social behaviour will not be tolerated.

10. Facilities & Risk

10.1 All facilities are used at your own risk.
10.2 Imbabali Retreat & Venue is not liable for injury, loss, damage, or theft.
10.3 No glass containers, food, or drinks are allowed near pools.
10.4 Candles, incense, and indoor smoking are strictly prohibited.
10.5 Smoking is permitted outdoors only.

11. Pets

11.1 Only social dogs are allowed with prior written approval.
11.2 Conditions:
• Must be vaccinated and not in heat
• Owners must clean up after pets
• Dogs should be leashed on trails
• No excessive barking or chasing wildlife
• No swimming in pools—furrows, dams, and rivers only
• Owners accept full responsibility

11.3 No other pets are permitted.

12. Camping Rules

12.1 Specific sites are not guaranteed.
12.2 Vehicles must be parked on-site unless otherwise instructed.
12.3 Excessively dirty or damaged sites will incur a cleaning fee.
12.4 No trenches, littering, or cigarette butts.
12.5 Fires allowed only in designated fire pits.
12.6 No sparklers, fireworks, or sky lanterns.
12.7 No wood collection—firewood, charcoal, and firelighters are available for purchase.

13. Safety & Conduct

13.1 Free-roaming dogs must not be fed or mistreated.
13.2 Drive slowly—maximum speed 20 km/h. Children and animals have right of way.
13.3 No firearms, ammunition, or explosives allowed.
13.4 No quad bikes, trail bikes, or motorbikes.
13.5 Bicycles and e-scooters may be used with safety gear, not after dark or in communal areas.
13.6 This is a drug-free venue—no narcotics or marijuana permitted.
13.7 Guests may be asked for identification to verify bookings.

14. General Property Use

14.1 Do not pick, or damage any plants, fruit, or vegetables.
14.2 Keep your site clean and use designated rubbish bins.
14.3 Report any damage, breakages, or maintenance issues immediately.

15. Lost Property

15.1 Contact us via WhatsApp at +27 (83) 311 1146 to claim lost items.
15.2 Unclaimed items will be donated or discarded after 30 days.

16. Data Protection

16.1 Guest information is stored securely and will not be shared with third parties.
16.2 By booking, you consent to the use of your data for reservation and communication purposes.

17. Right of Admission

17.1 Imbabali Retreat & Venue reserves the right of admission.
17.2 Terms may be updated without prior notice.
17.3 Errors & Omissions Excepted (E&OE).

18. Legal Disclaimer & Indemnity

By entering the property, I, on behalf of myself and any dependents, heirs, or guests in my care, do so entirely at my own risk. I hereby release, indemnify, and hold harmless Imbabali Retreat & Venue, its owners, staff, and agents from any liability for death, illness, injury, loss, or damage to person, vehicle, animal, or belongings. This includes any incidents involving children under my care.
